AI AUTOMATION · LEAD CONVERSION

Every Lead Deserves a Fast, Intelligent Response.

LeadPilot brings instant lead engagement, conversational qualification, appointment booking, and automated follow-ups into one configurable AI-powered application.

Built around a real-estate demonstration and designed to be adapted for different businesses, it helps teams turn inbound interest into organized, actionable opportunities.

The problem

Interest can arrive anytime. Your team can't always reply.

When a lead submits a form or messages a business outside working hours, the reply may not come immediately. Manual responses also make it hard to qualify every prospect consistently, follow up with people who stop replying, and keep booking details organized.

The result can be missed opportunities, fragmented conversations, and wasted time — the gap LeadPilot is designed to close.

The solution

A configurable lead-conversion layer

LeadPilot is a focused lead-response and conversion application — usable alongside a CRM or standalone, subject to the integrations implemented. It is not positioned as a full CRM replacement.

A public-facing chat widget for website visitors

An AI-driven conversational workflow

A private dashboard for owners and operators

Lead records and conversation history

Qualification and appointment booking

Automated follow-up sequences

Optional SMS integration

Lead intelligence and a marketing content studio

Business-specific behavior is configured through editable settings — greeting, persona, qualification questions, booking language, follow-up timing, and branding.

End-to-end workflow

Capture → Respond → Qualify → Prioritize → Book → Notify → Follow Up → Manage

One connected flow from first message to booked appointment and beyond.

  1. 01

    Capture

A visitor starts a conversation through the website chat widget.

  2. 02

    Respond

The AI engages the lead within its configured knowledge and behavior.

  3. 03

    Qualify

It asks relevant questions one at a time and records the answers.

  4. 04

    Prioritize

Lead intelligence produces a 0–100 heat score with an explanation.

  5. 05

    Book

Offers available slots per the configured booking logic and confirms.

  6. 06

    Notify

The business receives a structured summary of the lead and chat.

  7. 07

    Follow Up

Configured sequences re-engage eligible leads who haven't acted.

  8. 08

    Manage

Review leads, conversations, bookings, and performance in the dashboard.

The heat score is an AI-generated prioritization aid — not a validated prediction of whether a lead will convert.

Core features

What LeadPilot does for a business

  • Instant AI Response

Designed for rapid, 24/7 engagement so incoming leads get a reply — including outside business hours.

  • Conversational Qualification

Collects useful information through a configured sequence of questions, not a long static form.

  • Appointment Booking

Offers slots per the configured scheduling logic and sends standard .ics invites — no paid calendar API.

  • Automated Follow-Ups

Configurable sequences (default 1, 3, and 7 days) that stop when a lead replies, books, or opts out.

  • Multilingual Conversations

AI-based language detection can adapt the conversation and follow-ups to the lead's language.

  • Lead Intelligence

An AI-generated 0–100 heat score with an explanation, plus a possible reason inferred when a lead goes quiet.

  • Built-In Content Studio

Generates eight marketing formats from business details, with a scan that flags potentially risky Fair Housing language to assist review.

  • Private Business Dashboard

A centralized view of leads, conversation history, captured info, bookings, and operational stats.

  • Configurable Business Profiles

Persona, greeting, qualification questions, branding, booking wording, and follow-up timing — no core code changes.

  • Optional SMS Integration

A Twilio-based SMS path, enabled per business after the necessary setup and compliance steps.

The product interface

A product identity of its own: Aurora Glass

Inside LeadPilot, UGConic's purple brand gives way to the product's own mint-and-gold aesthetic — intentionally connected, not contradictory.

  • Dark canvas with a softly animated aurora
  • Frosted-glass panels
  • Mint and gold accents
  • Modern, high-contrast typography
  • Animated statistics and conversion indicators
  • Subtle 3D card movement
  • Smooth transitions
  • Light-mode adaptation

Content studio formats

Eight marketing formats generated from business details:

  • Listing / offer description
  • Social captions
  • Advertising copy
  • Customer email
  • SMS copy
  • Flyer text
  • Photo captions
  • Business announcement
Architecture

A website visitor to a booked appointment

A visitor chats via the embedded widget; the FastAPI app handles AI response and qualification, stores the lead in SQLite, books, and notifies — with a follow-up engine running in the background.

Private business dashboard

Owners review leads, conversations, bookings, and operational stats.

  5. Booking.ics invitations
  6. NotificationsResend email
  7. Follow-up EngineBackground checks

SMS (Twilio) is an optional, separate notification channel enabled per business after setup. The content studio connects to the same AI layer. Email and SMS are distinct channels.

Stack

  • Backend · Python, FastAPI
  • Storage · SQLite
  • AI · Groq with model failover
  • Email · Resend
  • SMS · Twilio (optional)
  • Calendar · standard .ics files
  • Frontend · chat widget + dashboard
  • Tenancy · per-business records, settings, embed keys
Multi-tenant design

One engine. Different businesses. Configurable experiences.

Each client is an agent/business record with its own configuration and embed key, so one application serves different profiles without a separate codebase per client.

  • Brand identity
  • Greeting and assistant persona
  • Qualification questions
  • Booking wording
  • Follow-up timing
  • Business-specific behavior

This is a multi-tenant design. It has not undergone an independent security audit and is not claimed to be production-hardened or to support unlimited tenants; tenant isolation and authentication should be reviewed before any production use.

SMS readiness

Responsible messaging, enabled per business

  • Each business supplies its own Twilio configuration.
  • SMS consent evidence is captured and stored with a timestamp.
  • Opt-out requests such as STOP are intended to be respected.
  • Follow-up workflows should honor opt-out status.
  • Setup is intended to align with applicable registration and approval, including A2P 10DLC where relevant.

SMS is not automatically compliant with all messaging laws, and registration does not guarantee approval. Implementation, provider rules, and actual messaging practices all matter.

Why this approach

Four principles behind the design

  • Focused, Not Bloated

Designed around inbound lead response and conversion instead of replicating every CRM feature.

  • Configurable

Different businesses customize the same engine for their own conversations and qualification needs.

  • Expandable

A starting point for additional CRM integrations and automations where those are implemented.

  • Human-Accountable

AI assists with responses, prioritization, and follow-ups; businesses stay responsible for oversight and compliance.

Project status

Built and tested — honestly stated

  • A public-facing chat widget and a private dashboard
  • A FastAPI + SQLite backend with configurable business profiles
  • Qualification, booking, and follow-up capabilities
  • A content studio that generates multiple marketing formats
  • SMS designed as an optional, configuration-dependent capability
  • Built and tested end to end — online deployment still to be completed

No paying customers, onboarding counts, lead volumes, conversion rates, revenue, testimonials, uptime guarantees, or independent certifications are claimed. AI assists; businesses remain accountable for oversight and compliance.
